Privacy Policy

This policy explains how PresenterSync collects, uses, shares, retains, and protects personal data. PresenterSync is an independent software service operated from Singapore with free and paid early-access plans.
Information we collect
Account information includes your display name, email address, password hash, session and account-security metadata, resource ownership, and plan-entitlement state. We do not store your password in plain text.
Room and event information may include titles, scripts, segments, cue messages, timer and rundown state, display settings, shared-link token hashes, templates, imports, and timestamps needed to provide and recover the service.
Audience interactions
When a host enables an interaction, we may process Q&A text, ratings, poll selections, word-cloud phrases, quiz answers and scores, moderation state, timestamps, and an optional unverified display name. A submitted name is not verified account identity. Public and presenter views receive only the permitted aggregate result or an explicitly selected moderated question, rather than private response lists.
Technical and communication data
We process essential cookie and browser storage, request paths, status codes, connection events, error details, approximate network information such as IP addresses used for security and rate limiting, and device/browser information made available through normal web requests. If you contact support or use an account email action, we process the message, email address, delivery status, and related support history.
Public-site analytics
We use Cloudflare Web Analytics only on the PresenterSync home page, Help Centre guides, and the public Privacy Policy, Terms of Service, and Billing Policy pages. It provides aggregate visits, page views, referral sources, countries, browsers, devices, and page-performance measurements so we can understand whether the public site is useful and functioning well. The analytics beacon is not loaded on account, room, template, import, or secret-link pages.
This analytics configuration does not use cookies or browser storage, does not send custom account or room identifiers, and disables single-page route tracking. Cloudflare does not record URL query strings or fragments in Web Analytics. Its dashboard currently makes this aggregate information available for up to six months.
How we use information
We use information to provide accounts, rooms, realtime synchronization, scripts, timers, cues, interactions, imports and downloads; authenticate users and secret links; enforce plan limits; prevent misuse; send requested account emails; diagnose failures; maintain security; respond to support and privacy requests; and comply with applicable obligations; and understand aggregate use and performance of the public pages described above. We do not sell personal data or use advertising or non-essential tracking pixels.
Service providers and transfers
PresenterSync uses service providers for cloud hosting and databases, domain and network services, monitoring, transactional account email, and the support mailbox. These currently include Microsoft Azure, Cloudflare, Resend, and Zoho. They process only the information needed to provide their services under their own contractual and privacy obligations. Data may be processed outside Singapore; we take reasonable steps to use providers and safeguards that provide protection comparable to applicable Singapore requirements.
Paddle is the authorized reseller and merchant of record for paid purchases. Paddle directly processes the billing identity, payment method, tax, receipt, subscription-management, and refund information needed for a transaction. PresenterSync does not receive or store full payment-card details. We exchange and retain bounded billing records such as Paddle customer, transaction, subscription, price, product, adjustment, and event references; plan and purchase type; billing status; and access, renewal, cancellation, grace, or refund dates so that we can start checkout, reconcile provider-confirmed events, grant or remove access, prevent duplicate event processing, provide billing support, and meet operational or legal obligations.
Retention and deletion
Anonymous rooms expire after 14 days of inactivity by default. Audience interaction responses and optional display names expire after 30 days by default. Signed-in Temporary and Kept rooms remain until their owner deletes them. Account deletion makes remaining owned resources inaccessible immediately and schedules permanent deletion after a 30-day recovery period. Operational logs and provider records are kept only as long as reasonably needed for security, troubleshooting, legal, and service-operation purposes.
Files downloaded by an authorized user leave PresenterSync's retention boundary. That user or their organization is responsible for securing, sharing, retaining, and deleting downloaded copies.
Secret links and security
Producer, speaker, audience, and shared-view links are credentials. Anyone with a valid link may use its role until the room or link expires, is deleted, or is revoked. Keep these links private and regenerate them if they may have been exposed. We use technical and organizational safeguards appropriate to the service, but no online system can guarantee absolute security. Do not place highly sensitive or regulated information in PresenterSync unless your organization has assessed that use.
Your choices and requests
Depending on applicable law, you may request access to or correction of personal data, ask questions about its use, withdraw consent with reasonable notice, or request deletion. Withdrawal may prevent us from continuing to provide features that require the affected information. We may need to verify your identity and retain limited information where required for security, legal, or dispute purposes.
Changes to this policy
We may update this policy as PresenterSync and its providers change. We will publish the effective date and give reasonable notice of material changes where appropriate. The policy in force when information is processed applies to that processing, subject to mandatory law.
